You’ve invested in a beautiful short-term rental property, and now you want a hassle-free way to maximize your returns while your guests have an unforgettable stay. While opting for a short-term rental management company may seem like a good choice, there are a number of key issues to keep in mind.

We asked Terry Whyte from Anna Maria Island Beach Rentals to share his advice on how to choose the best STR management company for your business. Terry manages over 45 properties on Florida’s Gulf Coast and has more than 30 years of experience in the business.

He recommends the following as crucial areas of research and comparison when selecting the right STR property management company:

1. Financial records

Whether you’re moving from one property management company to another or if you’re new to the vacation rental market, Terry recommends reviewing at least two years of financials. He says, Property management companies advertise promises with data that may not be relevant. So the first thing you should do is ask for financials.” 

This will help you identify if:

  • The company is a legitimate, well-established, and financially stable business
  • You’re in good hands based on the company’s operational efficiency, revenue growth, and profitability
  • The company can fulfill its commitments, like timely payments, property maintenance, and effective marketing strategies

2. Insurance coverage

“Natural calamities like hurricanes and floods are synonymous with Florida. And the biggest problem is that no insurance company wants to insure any property here. The insurance for the condo I own goes up by 25% every year—who knows, next year it could be 50%,” says Terry. 

So, you need to be careful when checking if the property management company has adequate insurance coverage to protect against accidents or injuries occurring on your property and damages caused by tenants or third parties.

  • Consult with an insurance professional

Transparency in commission fees

Terry warns that most property management companies in Florida aren’t upfront about their commission rates and other fees. He says, “They often won’t tell you the commission rate and the actual costs. For example, 100% of people pay for reservations with a credit card. So is the property management company charging you for the 3% credit card fees?” 

Terry suggests looking out for additional fees like:

4. Distribution strategy

On the need for wide channel distribution, Terry was adamant. “I can almost 100% predict the strength of a company by their distribution. Most property management companies advertise only on Airbnb and Vrbo—and this could get you killed,” Terry warned. 

“You need to have a presence globally, especially with the market saturation—Expedia, Booking.com, Hopper, and HomeToGo are all channels you should be looking at, for example.”

Having a global presence helps you reach more travelers and get more bookings. A good property management company will also have an effective search engine optimization (SEO) and search engine marketing (SEM) strategy. Check how the company optimizes your listing. This way, you’ll know if you’re reaching your target audience.

The occupancy rate and average daily rate (ADR) show how well your business is doing. Terry says, “You have to have those financials that we talked about. Does the property management company you choose have an occupancy rate of 80 or 90%? Or is it more like 50%?”
